Automatically name and number records

You can configure STRUMIS so that new records are assigned a name automatically. You can find the relevant settings in the module options. Auto-naming/numbering a record is an efficient way to ensure that the record name is unique and the reference number is sequential. If you elect not to use it, you must type in a name when you create a record.

For the main record types, you can toggle auto-naming/numbering on or off, you can define a mask (layout) for the auto-name, and you can specify the next number to be used. Let's take estimate names as an example.

Auto-naming/numbering for estimates is set up in Enquiries & Estimating > Enquiries & Estimating Options. The three settings are:

§               Auto Estimate Name

§               Estimate Numbering - Mask

§               Estimate Numbering - Next Number

 

To automatically assign a unique name to each new estimate that is created on your system, select the Auto Estimate Name check box. You can then set up a mask and a number. The mask defines the layout of the record name; the default mask for an estimate is EST[yy]-{###}. This means that when you create a new estimate, its name comprises the prefix EST, a two-digit year, a hyphen, and a unique three-digit number; for example, EST17-010. The Estimate Numbering - Next Number setting defines where the numbering begins.
